But it can depend on dozens of digital ones.
Examples include:
- Domain names.
- Websites.
- Email accounts.
- Software subscriptions.
- Digital products.
- Course files.
- Customer databases.
- Payment accounts.
- Affiliate accounts.
- Brand graphics.
- Documents.
- Intellectual property.
- Backups.
If everything works, you may rarely think about where those assets are located.
Problems appear when:
- A domain approaches renewal.
- A software account needs to be recovered.
- Someone needs the original product file.
- You forget which service hosts something.
- A subscription is canceled.
- A family member or business partner needs to understand the operation.

An Asset Inventory Is Not a Password Spreadsheet

Step 1: Start With Asset Categories
Use broad categories.
Domains
Record every domain the business owns.
Websites
WordPress installations, landing-page sites, stores, and other properties.
Business mailboxes, email-marketing platforms, transactional email systems.
Software
Paid and critical free tools.
Products
Ebooks, courses, software, templates, memberships, lead magnets.
Financial and Payment Systems
Checkout platforms and payment processors.
Marketing Accounts
Affiliate platforms, analytics, advertising, social accounts.
Intellectual Property
Brand names, logos, original manuscripts, course content, trademarks where applicable.

Step 3: Record the Purpose
Ask:
Why does the business need this asset?

Canva account: Creates graphics.
Purpose becomes valuable during cost reviews.
If you cannot explain why a paid asset still exists, it may deserve review.
Step 4: Record Ownership
This is often overlooked.
Ask:
- Which person owns the account?
- Which business entity owns it?
- Which email address controls it?
- Is it registered personally or through the company?
This matters especially for:
- Domains.
- Hosting.
- Payment systems.
- Software licenses.
- Intellectual property.
An asset can become difficult to transfer if ownership is unclear.
Step 5: Record the Location
Where does the asset live?
For a file:

For a website:

Be specific enough to find it again.
Step 6: Record Renewal Information

Step 7: Identify Critical Assets

CRITICAL
Failure may stop sales, customer access, or public operations.
Examples:
- Main domain.
- Hosting.
- Business email.
- Checkout.
- Payment processor.
IMPORTANT
Failure creates disruption but does not immediately stop the business.
SUPPORTING
Useful but replaceable.
This helps prioritize backups and recovery planning.
Step 8: Record Backup Status
Ask:
If this asset disappeared tomorrow, do I have another copy of what matters?
For digital products:
Do you have the editable source file?
For your website:
Do you have a recent backup?
For subscribers:
Can you export the list?
For course content:
Do you have originals outside the course platform?
A strong backup system should not depend entirely on the same platform that hosts the original asset.

Step 9: Record Recovery Information
Do not put secret recovery codes in the inventory.
Instead record:
Recovery Method: Password manager + business email.
or:
Recovery Contact: Vendor support.
or:
Domain recovery: Registrar account controlled by business email.
The goal is to know how recovery begins.
Step 10: Include Digital Products
Digital products are business assets too.
Record:
- Product name.
- Current version.
- Source-file location.
- Customer-delivery location.
- Checkout platform.
- Price.
- Status.
- Backup.
- Update schedule.
This is especially useful when you eventually build a larger catalog.
Otherwise, older products can become scattered across:
- Downloads.
- Desktop folders.
- Cloud drives.
- Product platforms.
- Old email attachments.
Step 11: Record the Current Status
Use:
ACTIVE
Currently used.
BACKUP
Retained as an alternative or recovery asset.
RETIRED
No longer used.
MIGRATING
Being moved.
REVIEW NEEDED
Status uncertain.
This prevents retired software or old domains from looking like current business infrastructure.
Step 12: Add Dependencies
This is where the inventory becomes especially useful.

Suppose you want to cancel a tool.
Before cancellation, search the inventory.
Does anything depend on it?
You may discover:

- An email sequence uses its landing page.
- A product file exists only there.

Step 14: Use It for Business Continuity
Your asset inventory should connect to your broader continuity plan.

Do Not Inventory Everything at Once
Your business may have hundreds of files.
You do not need to record every PNG.
Inventory at the asset level.

The inventory should remain usable.
Start With the Top Ten
If you had to rebuild the business after a computer failure, what ten digital assets would matter most?
They might be:

- Payment processor.
- Product platform.
- Master product files.
- Business documents.
- Backup system.
Document those first.
Then expand.
Review the Inventory Quarterly
Ask:
- Did I buy new software?
- Did I cancel something?
- Did a domain renew?
- Did I launch a product?
- Did I move files?
- Did a backup location change?
- Is ownership still correct?
- Does recovery still work?
